Privacy statement

Telco Parts Services B.V. processes personal data of clients, contacts, suppliers and visitors to this website. This statement sets out which data that is, why we process it, how long we keep it and what rights you have.

2. When this statement applies
This statement covers all personal data we process through this website, by e-mail and telephone, in quotations and assignments, and while carrying out work on site. Third-party websites we link to — our webshop or LinkedIn, for example — have their own privacy policies. We are not responsible for those.
3. What we process and why
Contact through the form, e-mail or telephone
Data: name, company name, e-mail address, telephone number and the content of your message.
Purpose: answering your question and sending you a proposal or quotation.
Legal basis: performance of a contract or steps taken at your request before entering into one (Article 6(1)(b) GDPR). For general enquiries: our legitimate interest in responding to messages (point f).
Quotations, assignments and client records
Data: names and job titles of contacts, business contact details, correspondence, agreements, work orders, test reports and documentation of work carried out.
Purpose: preparing, carrying out, handing over and accounting for the assignment.
Legal basis: performance of the contract (point b) and our legitimate interest in sound project records (point f).
Work on site
Data: names of our engineers and of your contacts, access and sign-in details your organisation requires, and sometimes a copy of a certificate or certificate of conduct where your security procedure calls for one.
Purpose: arranging access to your site and demonstrating that the right person carried out the work.
Legal basis: performance of the contract (point b) and, where identity or screening data is involved, your and our legitimate interest in secure access (point f). We never provide more than your procedure requires.
Invoicing and accounts
Data: billing details, the contact for your accounts department, payment details.
Purpose: invoicing and meeting our statutory retention obligations.
Legal basis: performance of the contract (point b) and legal obligation (point c).
Website visits and statistics
Data: pages visited, time, referring page, device and browser type, and a shortened IP address.
Purpose: understanding which pages are read and improving the website.
Legal basis: your consent (point a). We use Google Analytics 4 through Google Tag Manager. Until you give consent, Google Consent Mode holds all storage at “denied”: no analytics cookies are placed and no identifying data is sent to Google. Google Analytics 4 does not store IP addresses. You can change your choice at any time through the cookie settings at the foot of the website.
Technical operation and security of the website
Data: server log files, including IP address and files requested.
Purpose: keeping the website running, resolving faults and preventing misuse.
Legal basis: our legitimate interest in a working, secure website (point f).
Job applications
Data: the information you send us yourself, such as a CV and covering letter.
Purpose: assessing your application.
Legal basis: steps taken at your request before entering into an employment contract, and our legitimate interest in recruitment (points b and f).
4. Do you have to provide your data
No. Filling in a form is voluntary. Without contact details we simply cannot answer your question or send a quotation. Carrying out an assignment does require certain data; the quotation or order confirmation sets out which.

Where a dispute or a warranty period is running, we keep the file concerned for as long as we need it to support our position.
6. Who we share data with
We do not sell your data and do not use it for purposes you would not expect. We do engage service providers who process data on our behalf. These include:
- our hosting provider and the supplier of our e-mail and office environment;
- the supplier of our form and website software;
- Google Ireland Limited, for website statistics through Google Analytics 4 and Google Tag Manager;
- our accountant and the accounting software we use;
- subcontractors and specialist partners we bring in for an assignment.
We have a data processing agreement with each of these parties setting out that they may use the data only for our assignment and must secure it appropriately. We will send you a current list of the processors we engage on request.
We may also disclose data where we are legally required to, for example to the Dutch tax authority or to a regulator.
7. Transfers outside the European Economic Area
We prefer parties that process data within the EEA. Using Google services may involve transfers to the United States. Google Ireland Limited acts as our processor and the transfer takes place under the EU-US Data Privacy Framework and the European Commission’s standard contractual clauses, supplemented by the measures Google sets out in its terms.
8. Cookies
This website places functional cookies needed to make the site work and — only with your consent — cookies for statistics. Exactly which cookies those are, how long they stay and how to change or withdraw your choice is set out in the cookie policy.
9. How we secure your data
We take appropriate technical and organisational measures. Among them: encrypted connections (TLS) on the website and in our e-mail, system access limited to staff who need it for their work, multi-factor authentication on our main accounts, and regular updates of the software we use. Our engineers are contractually bound to confidentiality.

10. Your rights
You have the right to:
- request access to the data we hold about you;
- have inaccurate data corrected or completed;
- have data erased, insofar as we are not legally required to keep it;
- have processing restricted;
- object to processing based on a legitimate interest;
- receive your data in a common file format or have it transferred;
- withdraw consent you have given, without affecting processing carried out before withdrawal.
Send your request to info@telcoparts-services.com. We respond within four weeks. To make sure we do not disclose data to the wrong person, we may ask you to prove your identity.
If you are unhappy with how we handle your request, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), Postbus 93374, 2509 AJ The Hague, autoriteitpersoonsgegevens.nl.
11. No automated decision-making
We do not take decisions about you based on automated processing or profiling.
12. Changes
We update this statement when our services or the regulations require it. The current version is always on this page, with the date of the last change at the top. Where a change is significant, we inform existing clients directly.
